When Spreadsheets Stop Scaling
Every company starts with spreadsheets. And for a while, they work great. But there comes a point—usually around $5M in revenue—where Excel-based financial management becomes a liability.
Signs You've Outgrown Spreadsheets
- Monthly close takes more than 5 business days
- Multiple people maintain different versions of the same data
- You can't generate real-time financial reports
- Audit preparation is a scramble every time
The Migration Path
Having migrated companies to and from NetSuite, QuickBooks, and Intacct, here's my recommended approach:
1. Assess Your Needs
Not every company needs NetSuite. Sometimes upgrading QuickBooks to a multi-user environment solves 80% of the problem at 20% of the cost.
2. Clean Before You Migrate
Migrating dirty data to a new system just gives you a more expensive version of the same problem. Clean your data first.
3. Automate Strategically
VBA macros, Power Query, and custom scripts can bridge gaps between systems and automate repetitive reporting tasks.
The goal isn't to have the most expensive system—it's to have the right system for your stage of growth.
